Security measures to be taken under the Data Protection Act
As a holder of membership data you are under certain security obligations arising from the Data Protection Act 1998. In general terms, this means that you must have appropriate organisational and technical security measures in place to protect this data. There are no 'standard measures' as such, as the level of security should be assessed by yourselves, taking into account the following considerations:
* the cost of implementing security measures
* the harm that may result if your security is breached; and
* the nature of the data.
It's important to note that management and organisational measures are as important to consider as technical ones. A standard risk assessment should identify potential threats to your systems, the vulnerability of your system to those threats and the measures that need to be put in place to mange those risks. Some areas to consider in assessing these measures include:
* Do you have a written security policy within your company and is the responsibility for the policy placed on a particular person or department?
* Who has access to the information? Can the information be accessed without a password?
* Do you have an authentication procedure in place to identify a person to whom personal data may be disclosed over the phone?
* Are back-up copies of all the data stored separately from the live files?
* Is there adequate protection against viruses and other forms of intrusion?
* Do the systems keep audit trails so that access to personal data is logged and can be attributed to a particular person?
Terms and Conditions for Internet Use
We, DIVERSIFIED, let you view your member information online for your ease of reference and convenience. Your security is important to us and we have taken steps to put in place appropriate security measures to protect your information. However, you need to recognise that communication and storage of information on the internet can never be absolutely secure and so you need to read through these terms and conditions before you agree to our making your information available online.
Passwords and protecting access to your computer
Do not reveal your password to anyone or write it down where it may be found by others. Try to avoid 'obvious' passwords that would be easy for others to guess, such as your name or the name of a family member. You are responsible for any access to our website made using your password. You can change your password at any time by logging on and using the 'My Profile' form. If you forget your password, we have a three-step retreival process; users will need to provide their individual membership number, email address and post code.
Be careful where you log on to your account. Try to avoid accessing your account on publicly accessible computers which may not be secure, such as internet cafes. If you are accessing your account in a public place, try to avoid leaving your computer unattended whilst you are logged on to your account. Always log off from your account when you have finished your session and close the web browser.
You can help to keep your computer safe and secure by using a firewall, regularly installing security updates and using anti-virus and antispyware software programmes.
If there is a breach of security and disclaimer
If, despite the precautions and security measures you and we take, you find out that there is a breach of security, please let us know as soon as possible.
We do not accept any responsibility or liability to you in the event that any personal information accessible from any of our websites is disclosed, becomes known, or is intercepted or for any other breaches of security in respect of such information. However, we will use reasonable endeavours to rectify any security breaches which occur through no fault of our own. Nothing this section limits or excludes any liability which we would not be able to exclude or limit by law.
